    DUTIES:

  • Managed and scheduled complex calendar, via accepting and/or declining invites, and requests for appointments/meetings on behalf of the executive director;
  • Coordinated and organized all meetings, and the management of logistics for such meetings on behalf of executive director and other association leadership;
  • Prepared and organized expense reports and travel receipts;

  • Assists in preparing travel orders and vouchers as necessary for F/PR and PR staff, including making reservations for travel and lodging. Follows procedures until completed for F/PR and PR staff.
  • Serving as the NOAA Locator Contact person: Updating NOAA employee information.
  • Maintain office equipment for entire staff Logging in/out Laptop computers, Proximas, etc. Keeping all information updated in the office database, maintain contract database Logging in/out new contracts and invoices and updating database on a daily basis.
  • Provides support and assistance to Division Secretary for daily work, and serves as Timekeeper for and other F/PR staff.
  • Works under the general direction of the Division Secretary, to provide support for office priorities and daily actions. Actions may include correspondence, copying, faxing, filing and other support functions. Work is provided to and checked by the Division secretary. 
  • Orders all supplies for office, giving each of the secretary’s sufficient leadtime to prepare specific supply orders.
  • After completion of refresher training, serves as F/PR time keeper. Distributes week schedules to staff prior to start of pay period. Collects filledout schedules and presents them to supervisor for approval. Completes and processes T&A data in coordination with employee and supervisor, ensures all appropriate clearances, and ensures disk is ready for transmission in a timely manner. Maintains T&A records in accordance with office protocols and agency regulations.
  • Acting as Backup to the Secretary for the AA and DAA.
  • Serving as the NOAA Locator Contact person: Updating NOAA employee information.
  • Order and Manage Office Supplies for Front Office Staff.
  • Answer telephones for OMI, EEO and Correspondence Unit as a Backup.
  • Respond to requests for publications, information, etc.: put together packages of literature for constituents who call in or refer them to the appropriate NMFS office.
  • Received heavy volumes of incoming calls on a daily basis; recorded, tracked and distributed maintenance work orders daily. 
  • Prioritized work orders and assigned them to appropriate contracting vendors, technicians, mechanics and engineers for Arlington County facilities.

  • Logged all incoming and outgoing work requests and maintained those request by using MP and Work Speed for future references.  
  • Responded appropriately and immediately to requests for repairs and maintenance services. 
  • Processed and dispatched work orders using twoway radios, telephone and pagers. 
  • Assisted in preparing monthly statements and reports of all completed maintenance work approved for service by vendors and all other programs.
